Final form is a governance fact

A policy labeled “v1.0” is not necessarily final if it lacks required approval. A ticket can be final when the activity is completed and the record is closed. A configuration export can be final for its capture event while still becoming outdated after a system change.

Create a final-form check before packaging

The evidence coordinator can check visible document facts without making the assessment finding.

  • Named owner and source system
  • Version or record identifier
  • Approval status and approver where applicable
  • Completion or collection date
  • Scope and period represented
  • Superseded-version relationship

Never hide unfinished work

Drafts may be important project records, but they should remain in the open-item queue. Converting a draft into a misleading “on file” status creates more risk than preserving the gap for leadership and the qualified advisor to resolve.

Can a draft be shown to the assessor?

The assessment team controls its process, but DoD guidance states that drafts and unofficial or unapproved policies are not eligible evidence for a MET finding.

Does a signature make a policy sufficient?

No. Approval makes it final under the organization’s process. The policy and evidence of operation still must support the applicable objectives.
